HS-HR Associate (Permanent)
To provide effective and efficient HR operations support for the Asia Pacific HR department ensuring proper procedures, processes and controls are followed in delivering of HR support work in the department. Such support work include HR data collation and employee documentation and record management, department procurement and budgeting, benefits administration, employee awards program administration, employee offboarding processes as well as daily administration tasks.
- · HR Department Administration Responsibilities:
- - (Procurement) ensure Purchase Orders are created prior to confirmation, ensure all invoices are received and managed per company policy, prompt follow up with respective HR team members where necessary to ensure ongoing compliance to processes are in place.
- - Manage APHR mailbox, respond to simple enquiries and redirect employees’ queries to respective colleagues where this is needed
- - Distribute HR mails; organize employees’ pay slips collection
- - Ensuring Department stationery purchases as well as ongoing stock keeping of up-to-date AP letterheads.
- - Ad hoc tasks e.g. set up HR department meeting, organizing meeting refreshments
- · Assist the Regional Head of HR on expenses reports and travel booking, Answer telephones and take messages for Regional Head of HR.
- · Contractor Administration including ensuring necessary documentation are in place in accordance with company policies and requirements
- · Documentation management such as personal files maintenance, letters generation for employees including employment details, change of titles, promotions, salary, cost centre changes, COLA as well as ad hoc verification letters for visa applications
- · Management of Award Programs
- · Employee offboarding process (Termination Administration)
- · Leave administration for all leave types such as Benefit Administration (Medical and Group insurances)
Requirements
- · Diploma in HR with at least 3 years working experience in HR administration and a total of 5 years working experience
- · Must have work experience preferably in an MNC environment with diverse employees and focus on turnaround time as well as results
- · Competent user of HR Information System (PeopleSoft)
- · Good working knowledge of Microsoft word, Excel, and PowerPoint
- · Basic Accounting Knowledge will be useful
- · Good command of English language and preferably another Asian language including Mandarin
